How to Invite Your Team to the TMS

Introduction

Last-mile logistics is a team effort. With a few easy steps, you can invite your team to the TMS.

This guide will walk you through the process of inviting new users, setting their roles, and managing invitations.

Step 1: Define User Roles

Before inviting employees, you need to establish their roles within the TMS. Roles determine what actions a user is expected to perform. Within a role, you can manage access to different TMS features, to control what actions a respective user can perform.

To define roles:

  • Go to Organization

  • Select Roles


    You will see a list of predefined roles, based on industry general practice. If any these do not apply to you, you can delete them via the Trash bin icon

  • Click New Role to add a role. Give it a relevant name and choose the necessary permissions. When you toggle a permission, both View and Edit access will be assigned by default.

    For more granular control, click on the "⌄" symbol next to each permission to choose between View and Edit access.

  • Click Create Role once you've chosen the necessary permissions

    The new Role will be visible on the page, where you can always make changes at a later point.

Step 2: Create Teams (optional)

Teams allows you to organize your users in specialized work teams, with exclusive access to their respective orders and routes.

To create a team:

  • Go to Organization

  • Select Teams

  • Click New Team, enter the team's name, then click Create Team


    The team will be visible on the Teams page, where you can make changes at a later point, if needed.


Step 3: Invite Users

Once you've defined the Roles and created the Teams, you can invite employees to join the TMS.

To do so:

  • Click on Organization

  • Select Users


  • Click Invite User

  • Fill out the mandatory fields (user's email address & role)

  • Add the user to a Team (if applicable) - if you have created Teams in Step 2, these will be shown in the drop down-menu.

  • Write a personalised message which will be included in the invite sent to the user. You can also leave this field blank.

  • Hit Send Invite when you're ready!


    The invite will appear in the Users list, from where you can resend or delete it if needed.


Accepting the Invite

The invited employee will receive an email with an invitation to join the TMS.

To accept, they must:

  • Open the invitation email: Check their inbox for an email from [email protected]

  • Click Accept Invite in the email. This will open the TMS in a browser

  • Add their personal information, accept Terms and Conditions, and click Sign Up

Pro Tip: If you're already part of a different Organization and logged into the TMS when you accept a new invite, you might be redirected to your existing account. To join the new Organization, please log out of your current account and then click "Sign Up" to add your details. Watch the video below for step-by-step instructions.
