Introduction
What are notes?
Notes are a new feature that allows teams to capture important information directly on Routes.
They make it easy to document operational decisions, deviations, or updates in a structured and transparent way — ensuring nothing gets lost.
Notes can be made Internal (visible only to your organization) or Shared (shared with fulfillment partners).
What can you do with Notes?
Add Notes directly on Routes, from multiple TMS pages.
Choose from Quick Notes for faster, standardized input.
Track who created or edited each Note and when.
Control who can see the Notes (Internal or Shared).
Edit or delete Notes when needed.
Where you will find Notes?
Route List
Enable Notes in Route List by clicking the Settings icon.
Choose Edit columns and enable the Notes column.
After saving, an extra Notes column will appear.
The column will show the count of Notes added to that Route, displaying “No notes” if there are no notes previously added to that Route
Live Tracking
Click the specific Route under Live Tracking.
A panel will open where you can view and manage Notes.
Route Details
Click on any Route to open it.
Find related Notes listed on the left sidebar.
Route Timelines
Enable the Notes column the same way as in Route List (Settings → Edit Columns).
Notes will appear once you save the view.
Distribution Center
Open the relevant Distribution Center.
You will see the Notes column next to each Route.
How to add a Note?
Open the Route you want to update.
Click "Add Note."
Select a Quick Note from the dropdown (optional).
Add additional details in the free text box if needed.
Choose the visibility:
a. Internal: Only your organization can see it.
b. Shared: Visible to all fulfillment partners involved in the Route.
Save
You can also add a Note from any of the list pages mentioned above.
Simply click on the Notes link (showing either "Add Note" or the Note count) — a side panel will open where you can quickly add a new Note without leaving the page.
Notes are automatically sorted from newest to oldest.
Hovering over the Date and Time in a Note will show:
Who created it and when
Who last edited it and when
How Quick Notes help you stay consistent?
Quick Notes help you add Notes faster and consistently by offering predefined reasons:
Quick Notes are predefined by your organization.
Users with the right permissions can manage Quick Notes via Organization Settings.
Editing a Quick Note only affects future Notes — already created Notes stay unchanged

Who can Edit or Delete Notes?
The user who created the Note.
Any member of the Organization owning the Note (if given the right Permissions)
Visibility Options
When adding a Note, you can set its visibility as:
Internal: Only your organization can see the Note.
Shared: The Note will be visible to all organizations that are part of the fulfillment chain (e.g., contractors, subcontractors, logistics providers).
Important:
If you add a Shared Note and then assign the Route to a new Organization, the Note remains visible only to the organizations already involved at the time the Note was created.
If your Organization is the only one in the Fulfillment Chain, you can only create Internal Notes.
Permissions
Access to Notes is controlled through specific user permissions:
View Notes - Allows users view Notes linked to Routes
View Quick Notes - Allows users to view which Quick Notes are available
Create Notes – Allows users to add new Notes to Routes.
Delete Notes – Allows users to delete Notes created by them or their organization.
Edit Notes – Allows users to edit Notes created by them or their organization.
Edit Quick Notes – Allows users to create, edit, or delete Quick Notes in Organization Settings.
Your administrator or organization manager can grant these permissions based on user roles and needs.
Note: You need view permission to use Quick Notes when adding a Note.
Best Practices
Keep Quick Notes short and specific. Use concise labels like “Driver late at Pickup”, “Traffic on Route”, "Delay in Picking" or “Driver App misuse” — then use the Note’s text field to provide detailed context.
Use Quick Notes to standardize comments and improve reporting. Identify the most common operational issues by pulling statistics on Quick Notes, and drill down by Contractor or Driver to monitor trends, improve performance, and reduce defects.
Control permissions to ensure consistency. Grant Note creation rights to relevant users, and restrict editing or deletion to defined roles. Make Quick Notes editable only by Admins or Owners to preserve standardization.
Use Notes as part of your settlement process. Document route events and deviations as Notes to support payment decisions. Make the Notes shared with your Contractors for transparency. At the end of the month, Notes help explain delays or discrepancies between Planned and Actual estimates, eliminating the need to rely on spreadsheets, faded memories, or handwritten notes.
Use Quick Notes whenever possible for speed and efficiency. Use keyboard commands (tab and enter) to move faster between the fields and quickly add a new Note. Start typing in the Quick Note field to filter only on the relevant Quick Notes in the drop down.
Frequently Asked Questions
Q: Can Notes be used for Orders or Rule Sets?
Not yet — initially, Notes apply to Routes only, but expansion is planned.
Q: Will drivers see Notes?
No — Notes are for internal and organizational sharing only.
Q: Can I tag users in Notes?
Not yet — user tagging will be available in a future version.
