Introduction

Live Tracking is a tool within the TMS that helps you monitor your active Routes, or those that will start very soon.

This means you can see where your drivers are and the status of each stop, being better equipped to proactively handle delays and deviations along the route. In this way, Live Tracking allows your organization to achieve higher quality in delivery metrics and a better customer experience.

Accessing Live Tracking

  1. Log into the TMS.

  2. Go to 'Routes' in the menu.

  3. Select the ‘Live Tracking’ tab

Understanding Live Tracking

Page Layout

The Live Tracking page is divided into two sections:

  • Routes List: This shows you all the active routes. Each one of them is represented as a separate card with details like status, criticality, and assigned driver.

  • Map: This displays all the active Drivers. Each driver is represented with a blue dot.

Clicking on a Route card opens a detailed view that shows:

  • A list of all stops on the route (on the left)

  • The route displayed on the map (on the right)

Active Routes Explained

Live Tracking only shows routes that are currently happening or are about to happen. These are called "Active Routes" and they meet the following criteria:

  • Route Status = “Not Approved” and Route Start Time between 24 hours in the past, and 6 hours in the future

  • Route Status = “Not Started” and Route Start Time between 6 hours in the past, and 2 hours in the future

  • Route Status = “In Progress” and Route Start Time between 12 hours in the past, and 2 hours in the future

Route Criticality

The Routes are sorted by their Criticality. The colour of the route card indicates its criticality.

  • Red means the Route has high Criticality.

  • Yellow means the Route has medium Criticality.

  • Grey means the Route has low Criticality.

Driver Colour Coding

  • Red: Driving a Route with high Criticality

  • Yellow: Driving a Route with medium Criticality

Black squared icons represent unassigned Routes located at the start address.

Using Live Tracking Components

Route List

  1. Route Progress

    • Not Approved or Not Started: Status displayed accordingly.

    • En Route To: Shows next stop if the driver is driving.

    • Arrived At: Shows current stop if the driver is executing a stop.

  2. Route ID: Clicking it will open the Routes page.

  3. Stop Count: Number of stops on the route

  4. Route Owner: Name of the Organization owning the route

  5. Route Reference: Identifier for the route

  6. Route Fulfiller: Name of the Organization executing the Route

  7. Driver Name

  8. Driver Phone Number

Problem Indicators

If the Route has a problem that requires action, it will be displayed as an additional box in the Route Card (e.g. Expected delay at stop no. 34).

Some of the problems you could see are:

  • Expected delay: summarizes if there is any delayed stop on the Route

    • Multiple delays are separated by commas, e.g. “Expected delay at stop no. 14, 31, 34”

    • If more consecutive stops are delayed, they will be separated by a hyphen, e.g. “Expected delay at stop no. 14, 31-34”, meaning that the delayed stops are 14, 31, 32, 33, 34.

  • Driver offline: if the Driver has been offline for more than 5 minutes, an indication will be shown

  • No assigned driver: if the Route is not approved, and expected to start soon, a message will be displayed: “No assigned driver” followed by the Planned start date and time of the Route

Route Details View

Clicking on the Route card shows a detailed view of the Route, including all stops listed and displayed on the map.

  1. Support Note: Add notes about the route.

  2. Stop number

  3. Recipient name

  4. Stop Status

    • Not visited: The driver still has to get there

    • Arrived: The driver has arrived and is performing the tasks

    • Completed: The driver completed the stop successfully

    • Failed: The driver was not able to perform the delivery

    • Cancelled: The stop has been cancelled, because no delivery had to be made there (e.g. customer cancelled, order was moved on a different route)

      If the stop is expected to be delayed, a red label will inform you about the expected delay.

  5. Stop Address

Filtering Options

  • Teams: If you have teams defined in your Organizations, and you have assigned Routes to a Team, this filter allows you to just see the Routes assigned to one specific Team

  • Criticality: Filter Routes by their criticality level. If you select more than one option, all Routes with Criticality in the active selection will be retrieved

  • Status: filter Routes based on their Status. If you select more than one option, all Routes with Status in the active selection will be retrieved

  • Driver assignment:

    • Not active: Shows all Routes

    • Assigned to Driver: Shows just Routes that are currently assigned to a Driver

    • Not assigned to Driver: Shows the Routes that have not been assigned to a Driver yet

  • Vehicle type: Filter on the Vehicle type on which the Route is planned. If you select more than one option, all Routes with Vehicle in the active selection will be retrieved

  • Text filter: Use the free text search for filtering down your list based on:

    • Route id

    • Route Reference

    • Route Fulfiller

    • Stop Reference

    • Driver Name

    • Driver Surname

    • Drive phone number

      Pro tip for using the Text filter: If you separate your research strings with a comma, you will be able to search across multiple fields as if the comma was an "AND" logic operator

Map

  • Hover over a Driver’s pin to find out more details about the route being driven

    • If the Route is also visualized in the Route list on the left, it will be highlighted for you

  • Click on a Driver’s pin

    • The Route is shown on the map: all the stops on their geographical location are displayed, and connected by a line to show you the sequence

    • The Route details are shown in the side panel: you can see all the stops details

  • Hover over a Stop pin to display more details about the stop

FAQ

Why does the Route list order change when zooming in on the map?

When less than 20 routes are visible, routes shown on the map are listed first, followed by remaining routes, all ranked by criticality.

What does the pin in the Route card mean?

Clicking the pin moves the route to the top of the list. If more routes are pinned, they will be listed in descending order according to criticality. Use this to monitor important routes closely.
