Reviewing Completed Routes with Route Reviewer

How to set up Route Reviewer, find the routes that need a closer look, and sign them off.

Route Reviewer checks every completed route against limits your organisation sets, and tells you which routes need a closer look before billing.

Each route gets one of three verdicts:

  • Review required – the route crossed your limits clearly enough that someone should check it.

  • Review suggested – something stood out, worth a look if you have time.

  • Review not required – nothing above your limits.

The verdict is guidance, not a decision. You always see what triggered it, and you decide whether the route is fine.

This article covers setting up your limits, finding routes to review, reviewing a route, and signing it off.

Before you start: assign the permissions

Route Reviewer is controlled by the Route analysis permissions. Your administrator turns them on for the roles that will review routes or manage the settings. Users without them don't see Route Reviewer at all.

  1. Go to Organization > Roles.

  2. Click the role you want to give access, for example Operations.

  3. In the panel on the right, find Route analysis and turn it on.

  4. Expand Route analysis and turn View permissions and Edit permissions on or off as needed. Expand each of them to choose individual permissions.

Saving or clearing those settings

A typical setup: everyone who reviews routes gets the first two, and the person who owns your review rules also gets the last two.

Set up your analysis settings

Routes are only checked after your organisation saves its settings for the first time. Until then, the settings page shows suggested limits, but nothing is analysed.

  1. Go to Routes > Analysis settings. The first time, a note at the top tells you there are no saved settings yet.

  2. Open each check and choose whether to Perform this check.

  3. Set the warning and critical limits for each check you keep (see below).

  4. Under Verdict, set how many warnings or critical findings make a route Review suggested or Review required. Setting a value to 0 turns that trigger off.

  5. Click Save changes. Completed routes are checked with these settings from now on.

How the limits work

Most checks compare what happened with what was planned. A finding is raised when the actual value goes past the plan plus the margin you allow. The margin can be a percentage, a fixed amount, or both.

For example, with a margin of 25% + 3 minutes, a stop planned at 20 minutes is flagged once it takes more than 28 minutes (20 + 5 + 3). Set the percentage to 0 if you only want a fixed limit.

By default, a route is Review suggested at 3 warnings or 1 critical finding, and Review required at 5 warnings or 2 critical findings. Either is enough.

The suggested limits are a starting point. Keep an eye on the verdicts for the first few weeks and adjust them to match what your team actually wants to check.

Change or clear your settings

You can change your settings at any time. Each save is kept as a version, and every route records which version it was checked against.

Clicking Clear removes your saved settings. Your routes are then no longer checked until you save settings again.

Users with view rights only can open the page and see your settings, but can't change them.

Find the routes to review

The Routes list can show you exactly which completed routes are still waiting for a review.

  1. Open Routes from the side menu.

  2. Set a start date range of up to 90 days.

  3. Under Review action, tick Required. Tick Suggested too if your team checks those.

  4. Under Review state, tick Not yet reviewed.

  5. Optional: add the Action and Reviewed columns to the list, and save the view so you can come back to this list in one click.

While these filters are on, only completed routes are shown.

Review a route

Open a route from the list. The Route review tile is the first tile in the row of key figures on Route details. It shows the verdict and how many critical and warning findings the route has.

See what triggered the verdict

  1. Click the finding counts on the tile to open What triggered the review. Critical findings are listed first.

  2. Each row shows the stop, the reason and how far off it was, for example "Task time over planned at Stop 4" and "+8 min (planned 20 min)".

  3. Click a row to see which limit it crossed.

  4. Click Show on map to jump straight to that stop or location.

Check it on the map

The map helps you understand what happened:

  • Turn on Problems to see unscheduled stops and GPS gaps marked on the map. Click a marker for details.

  • Replay the driver's route with the playback controls, at 0.1× to 8× speed.

  • Click a stop to move the driver there in the playback.

  • Open street view to see the location from the road.

  • Turn on Speed heat to spot slow stretches.

Compare plan with reality

The plan-vs-actual charts on Route details, a histogram and an arrival-time curve, show how the route ran against the plan. They help you see whether a finding was a one-off or part of a pattern across the route.

Under the key figures, you can also see whose settings the route was checked against. If they are your organisation's, the settings link takes you straight to them.

Complete the review

When you've checked the route, sign it off so your team knows it's done.

  1. Click Complete review in the Route review tile.

  2. Confirm. A completed review can't be undone.

The tile then shows who reviewed the route and when, for everyone who can see it. The route also drops out of the Not yet reviewed filter in the Routes list.

Only the organisation whose settings were used can complete the review. Others see a message saying which organisation can.

Working with contractors: whose settings apply

Each route is checked against one organisation's settings only. This matters when routes are passed on to contractors.

  • If the organisation that owns the route has saved settings, those are used.

  • If not, the settings of the first contractor in the chain are used, then the next contractor, and so on.

Route details shows whose settings were used, and when they were last changed.

Who sees the review:

  • The organisation whose settings were used, and the organisations below it in the chain, see the verdict and findings.

  • Organisations above it don't see a review for that route.

When a route shows no review

A completed route has no Route review tile when nobody in its chain has saved settings, or when your organisation sits above the one whose settings were used. In the Routes list, these routes show as Not available.

FAQ

  • I can't see Route Reviewer anywhere. Ask your administrator to turn on the Route analysis permissions for your role.

  • My routes don't get a verdict. Check that your organisation has saved its analysis settings. Nothing is analysed until it has.

  • Too many routes are flagged. Loosen the limits on the checks that raise the most findings, or raise the number of findings needed for Review suggested or Review required.

  • I can't complete a review. You need the Complete route analysis review permission, and your organisation must be the one whose settings were used.

  • I completed a review by mistake. A completed review can't be undone.
